Every 30 minutes at minimum, click on "Reports" then "Pull List" then click on circle arrows to reload data to see what items patrons have requested to be placed on Hold. Note the call numbers (and shelving locations) of each item and retrieve them from the stacks. Once back at the circ desk, check the items in so patrons will receive an automated email that their Hold is ready. Write the name of the patron on a scratch piece of paper and shelve the item(s) on the Hold Shelf. Bundle items for the same person with a rubber band. Shelve the items on the Hold shelf alphabetically by the patron's last name.
When you check in an item and the word "Hold" appears in the last column, read the message at the top of checkin screen to learn the name of the person waiting for the book. If you don't notice the word "Hold" until after you have checked in another item, just check the item listed as hold in again, and note the message.
After checking in a book on hold, look for a yellow “Recall” card with the patron's name on it in the small wooden tray on the large circulation table. Pull the card, place it in the item, then set the item on the Hold Shelf, shelving alphabetically by last name if other items are already sitting there. A system-generated email will automatically be sent to the patron the next time notices are sent.
If you cannot find a yellow “Recall” card for the item, write the patron’s name on a piece of notepaper and place it in the item, then set the item on the Hold Shelf, shelving alphabetically by last name if other items are already sitting there.
Patrons wishing to place a hold on or recall a book that is already checked out need to fill out a yellow “Recall/Hold” card (found in the small wooden card tray on the shelf beneath the little drawers below the circulation counter). One item per card, so if they want to recall more than one, they need to fill out more than one card. Make sure they include the title as well as the call number of the book they are seeking.Place the yellow card on the Circulation Supervisor’s desk. Do NOT place a yellow card directly into the card drawer where we pull them when the item comes back. The item has NOT been recalled or put on hold until the supervisor enters it into the system. Only the supervisor should place a yellow card in the drawer.
